Z-waka is committed to conducting its activities ethically, responsibly, and with respect for the people and communities we work with.

This whistleblowing and reporting framework applies to Z-waka Pte. Ltd. and all of its subsidiaries.

If you become aware of wrongdoing, fraud, unethical conduct, a safeguarding concern, or another serious issue involving Z-waka or any of its subsidiaries, we encourage you to speak up.

Reports are handled confidentially, and anonymous reports are accepted where permitted by law.

What can I report?

You can raise concerns relating to Z-waka, its subsidiaries, employees, representatives, activities, programs, or business relationships.

Examples include:

  • Fraud, bribery, corruption, or other financial misconduct
  • Safeguarding concerns or harassment
  • Discrimination or retaliation
  • Health and safety concerns
  • Misuse of company assets, systems, information, or data
  • Violations of laws, regulations, or company policies
  • Serious ethical concerns or other suspected wrongdoing

Routine employment matters such as leave, performance, or pay may normally be raised through the usual HR grievance process. Where appropriate, they may also be handled under Z-waka’s Whistleblowing & Grievance Policy.

Who can make a report?

Our reporting channels are available to anyone who interacts with Z-waka or its subsidiaries, including:

  • Employees
  • Interns
  • Contractors
  • Volunteers
  • Suppliers
  • Business and implementation partners
  • Community members
  • Other third parties

You do not need to be a Z-waka employee to raise a concern.

You may submit your report anonymously where permitted by applicable law.

We encourage you to provide as much relevant information as possible so that the concern can be properly assessed and, where necessary, investigated.

Other ways to raise a concern

If you work with Z-waka or one of its subsidiaries, you may also raise a concern directly with:

  • Your manager
  • Human Resources
  • Z-waka’s Executive Director

If your concern involves your manager or another person who would normally receive the report, please use another reporting channel.

Where appropriate, individuals may also make legally protected disclosures directly to relevant regulators or authorities.

Z-waka will not restrict legally protected disclosures.

What happens after I make a report?

Once a concern is received, Z-waka will assess the information and determine the appropriate next steps.

Where we are able to contact you, we aim to acknowledge receipt of your report within two business days.

The matter will be assessed according to its nature and seriousness, and a responsible case owner will be assigned.

Where necessary, immediate protective measures may be taken. These may include:

  • Separating involved parties
  • Restricting or suspending access
  • Preserving relevant documents or evidence
  • Taking other measures necessary to protect individuals or the integrity of an investigation

How are concerns investigated?

Investigations are carried out in a manner proportionate to the seriousness of the concern.

They are led by Human Resources or another impartial person appointed to handle the matter.

Any actual or potential conflicts of interest must be declared and appropriately managed.

For lower- and medium-severity matters, Z-waka aims to complete the process within 20 business days.

High-severity or critical matters will be addressed as soon as reasonably practicable. Where appropriate, interim updates may be provided.

What can happen as a result?

The outcome will depend on the facts and circumstances of each case.

Possible outcomes may include:

  • No breach identified
  • Coaching or training
  • Policy reminders or corrective measures
  • Written warnings
  • Changes in roles or responsibilities
  • Termination of employment
  • Contractual action
  • Referral to regulators or other authorities

Where appropriate and possible, the person who raised the concern will be informed when the matter has been closed and may receive a summary of the outcome.

Protection against retaliation

Z-waka does not tolerate retaliation against anyone who:

  • Raises a concern in good faith
  • Assists with an investigation
  • Refuses to carry out an unlawful instruction

A person will not be penalized simply because a good-faith report ultimately turns out to be mistaken.

However, deliberately false, malicious, or bad-faith allegations may result in appropriate disciplinary or other action.

Confidentiality and privacy

Z-waka treats whistleblowing reports seriously and confidentially.

Information relating to a report will only be shared with people who need it in order to assess, investigate, or resolve the matter.

Case files, evidence, and decisions are maintained in restricted-access systems and retained in accordance with applicable law and company retention requirements.

Personal data is processed lawfully and only to the extent reasonably necessary to handle the concern.
